Extenuating Circumstances for students leaving the UK 

If you wish to return home, it is really important that you let your personal tutor and Academic Hive know. At this exceptional time, the University will agree to requests to leave early for Easter. You should, however, keep up with studies as best as you can via the online learning materials available on SurreyLearn. 

If you believe that leaving Surrey early for Easter will impact assessments, you should apply for Extenuating Circumstances online via Surrey Self-Serve. 

If you are an international student and wish to return home and want to suspend your studies to next year please email internationalsupport@surrey.ac.uk. The University will work with you on a case-by-case basis.

How to apply 

To submit an application for extenuating circumstances (ECs), you will need to sign-in to Student Self-Serve. You should then select ‘extenuating circumstances’ from under the Modules tab at the top of the page.There is a videohere which shows you how to navigate the online form. 

 

Grounds for Recognition of Extenuating Circumstances 
 

Requests for recognition of ECs can be made on the following grounds: 
 

  • Serious short-term illness or accident of a nature that, in employment, would lead an employer to agree to absence on sick leave (for you or someone dependent on you for their care) 

 

Supporting Evidence 

It is usually required to provide medical evidence to support ECs, however in this instance, the University should not require evidence if you outline your circumstances clearly to them.  

 
Once you have submitted your application for extenuating circumstances, you will receive confirmation of receipt automatically and then an outcome, usually within a period of a few days, from your faculty. If you have any questions about the possible outcomes of your application for Extenuating Circumstances, we can help answer these, and you can also seek guidance from your Faculty Student Services. 

 

Extenuating Circumstances for students stuck outside the UK 

The University are aware of some students being outside the UK which may have an impact on their studies. Therefore it is suggested that if you believe this will impact on your studies or a specific assessment, you can apply for Extenuating Circumstances, which I have outlined below. 

To support this application, the appropriate evidence is your plane ticket which says when you flew to the country you are in, and when you returned/are due to return. If you have additional medical evidence that would be helpful but your plane ticket should be enough.  

The University are also asking that in your written statement you provide the following information:  

  • Which countries have you visited? 

  • Which country are you in now?  

  • If you have been allowed to return to the UK, are you in self-isolation? 

  • If you are in another country, do you know when you are due to return to the UK? 

  • What would you like the outcome of your EC to be - an extension or deferral?

Extenuating Circumstances for students self-isolating in the UK 

The University appreciates that many students are taking a precautionary approach, and if you are, you should apply for Extenuating Circumstances which I have outlined below. You will not need a medical certificate in this instance. The University will acknowledge your submission and will come back to you with further information as appropriate, including any alternative arrangements to allow you to work remotely for a period. 

 
 

The University are also asking that in your written statement you provide the following information:  

  • What circumstances have led to you being advised to self-isolate? (eg. have you been in contact with someone who has tested positive, and if so, where?)  

  • Where are you now, and where are you self-isolating?  

  • What would you like the outcome of your EC to be - an extension or deferral?
